What’s changing

In 2024 we introduced data classification labels for email in open beta, and since then we’ve introduced several feature enhancements including:

Beginning today, we are pleased to announce that data classification labels are generally available, giving admins yet another way to enhance their security posture.

Who’s impacted

Admins and end users

Why it matters

Data breaches are increasingly common and costly across all organizations, including enterprises, public sectors, and government institutions. By extending data classification labels to Gmail, Google Workspace offers admins a more comprehensive and integrated system for protecting sensitive information.

Admins can create custom labels or leverage existing Drive labels within Gmail, enabling classification of emails based on department, document type, sensitivity, and more. This allows for the creation of targeted data protection rules, such as blocking the sending of internal-labeled emails to external recipients or automatically applying a confidential label to messages containing sensitive financial data.

The instant application of auto-classification and DLP rules in Gmail provides immediate feedback to users, educating them on data protection policies and allowing them to rectify issues before emails are sent, ultimately minimizing data breaches and improving overall data security.

Finally, availability on mobile devices provides a comprehensive experience, ensuring data is protected and labeled across all user devices, whether users are sharing and accessing information from desktop devices or from mobile devices on-the-go.

Additional details

To further enhance the data classification labels experience, instant application of DLP rules and actions triggered by classification labels will soon be generally available on mobile devices. We anticipate that this functionality will be available in May – we’ll share an update once we have more information.

Getting started

  • Admins:
    • If you've been using classification labels since the open beta period, there are no changes to your experience.
    • If you’re new to Gmail classification labels, they can be enabled at the domain, group level, or individual user level. You also have the option to enable existing classification labels used in Drive for use in Gmail. The Label Manager tool can be accessed by going to Security > Access and data control or admin.google.com/ac/dc/labels in the Admin console.  Visit the Help Center to learn more about getting started with classification labels, Gmail DLP & automatic classification labels, and preventing data leaks in email and attachments.

The Label Manager tool can be accessed in the Admin console  by going to Security > Access and data control

  • End users: Depending on the data loss prevention rules configured by your admin, you may see a dialog letting you know that your message cannot be shared and how to fix your message so it can safely be shared. Visit the Help Center to learn more about classification labels in Gmail.

Users can apply classification labels to a message, according to the organization’s data governance policies

Last year, we introduced student groups in Google Classroom, a feature that enables teachers to create groups of students to make assigning differentiated content easier. As a result of this update, teachers can differentiate content across sub-sections of their class based on their students' needs. For example, teachers can create groups based on different reading levels and as their class adapts, they can edit members of a group or delete groups within their class.

Today, we’re excited to announce improvements to student groups that enable teachers to:
  • Email groups, which is especially useful when educators want to communicate with a sub-section of their class.
  • Sort by groups when grading on the Student work page. This makes it easier to grade more efficiently and understand student performance based on groups.
  • Edit student groups when creating an assignment so that educators can quickly adapt instruction without having to go to the People page.

To further improve grading options for teachers using grading systems in Google Classroom, we recently introduced the ability to perform bulk grading via ‘grade all’. With this new feature, teachers can quickly and efficiently grade all students' work on the Gradebook page by selecting ‘grade all’. They can also choose to override existing grades and automatically return them to students after grading.

Today, we’re excited to announce that teachers can now take bulk grading action on the Student work page in addition to the Gradebook. This update enables teachers to grade and assign grading labels in bulk, ultimately making grading more efficient and saving teachers time.

Getting started

  • Admins: There is no admin control for this feature.
  • End users:
    • Once a teacher has set up grading, they can follow these steps to grade all:

In the coming weeks, Google Workspace Business and Enterprise admins will be able to turn on access to Workspace with Gemini alpha features for their users. Turning this on gives your users a head start on leveraging our latest AI features and the opportunity to provide Google with helpful feedback as we develop new features. More information can be found below which can help you decide whether early access is right for your users. We first introduced this option last year for Google Workspace customers who previously purchased a Gemini Enterprise, Gemini Business and AI Meetings & Messaging add-on.

Access to Gemini alpha features can be turned on for all users or a subset of users in specific Organizational Units (OUs) or Groups.

Admin console > Generative AI > Gemini for Workspace > Alpha features

Additional details

  • Alpha features get the same robust data protection standards that come with all Google Workspace services.
  • Alpha features are experimental and may not always get things right. We’re looking forward to customers’ feedback to help us improve these features before they’re rolled out to general availability. However, please keep in mind that Alpha features may be changed, suspended or discontinued at any time without prior notice.

Getting started

  • Admins:
    • This feature will be OFF by default and can be enabled at the domain, OU, or group level. Visit the Help Center to learn more about turning access to Gemini in Workspace apps Alpha on or off
    • Please consider the following before configuring Gemini alpha access for your users:
      • With this launch, Gemini add-on licenses will no longer be required for your users to access Gemini in Workspace apps alpha features. Please ensure the alpha setting is turned ON only for your desired groups or OUs.
      • Once the Gemini in Workspace apps alpha setting is enabled, users may be granted access to new alpha features at any time — it is not possible to enable a subset of features or opt-out of specific features. We strongly recommend that admins and end users sign up for the Google Workspace alpha community page. Here, you can find the latest Gemini in Workspace apps alpha features, ask questions and provide feedback about the features on this page.
      • Features may be added to, modified, and removed from alpha at any time — there is no advanced notice of these features appearing for users.
      • Some alpha features may not roll out to all your selected alpha users.
      • As these features are not yet generally available, we will not offer full support for these features.
      • You can also help us improve Gemini in Workspace apps by allowing users at your organization to provide feedback via research studies and surveys

Earlier this year, we introduced the ability to generate vocabulary lists with the help of Gemini in Google Classroom. Today, we’re adding a text-dependent question generation tool to further our efforts for AI to help educators save time, create captivating learning experiences, and inspire creativity.

Educators can select a Google Drive file or manually input text, select which skills they want students to demonstrate, then generate questions to assess grade-specific comprehension and critical reasoning skills of students. Once generated, educators can then export the questions to a Google Form or Google Doc to assign to students. This new option can be particularly useful in a variety of scenarios, such as creating an exit ticket or a quiz to check students’ understanding.

We recently announced an update that adds AI voiceovers automatically when using Help me create in Google Vids. In continuing our efforts to enhance AI voiceover features, you can now make updates to your scripts and apply changes to your AI voiceovers with one click for every scene in your Vid, whether doing this manually or using Help me create

Existing AI voiceovers will be automatically replaced and scenes will automatically extend to match the voiceover length. In addition, users are now able to see previews of their end to end scripts in the script panel, making it easier to make edits and apply changes using the 'Generate all voiceovers' button.

Last year, we announced that Gemini in Google Chat can now help you catch up on unread conversations in the Chat home view with summaries. Recently, we extended this ability to direct messages and read conversations.

Upon navigating to a conversation in home, click the “Summarize” button to see a quick, bulleted synopsis of the message content. This enables you to quickly review recent activity across all active conversations to determine where best to focus your time and attention.

Today, we’re excited to announce that summaries in the home view are now available in three additional languages:
  • Spanish
  • Portuguese
  • German

Why it’s important

In 2022, we introduced the ability for admins to export user generated content by organizational unit (OU) or group, and prior to that update, data export was limited to a customer’s full set of user generated content. With this update, we continue to give our customers more flexibility and specificity over the data they export, which is important as business and compliance needs evolve.

Generative AI > Gemini App > Apps > Allow access to Workspace apps after beta (upcoming general availability)

As part of this transition, we will turn the Workspace apps admin setting ON by default. We expect general availability to begin rolling out by the end of April 2025. Starting today, admins can decide whether access is ON or OFF when the feature becomes generally available using the new “Allow access to Workspace apps after Beta (upcoming general availability)” setting.

Providing the admin setting ahead of general availability provides admins time to review their configuration ahead of the launch:

  • No action is required if you want Workspace apps to remain “ON” for users with the Gemini app enabled.
  • If you do not want your users to access Workspace apps in the Gemini app or have custom settings at the user, group, or organizational unit (OU) levels, please configure the “Allow access to Workspace apps after Beta (upcoming general availability)” setting as soon as possible.

Additional details

  • Workspace apps are only available to users 18+.
  • Google Workspace apps honors access control settings for files within Drive, meaning users can only access files that they own or have been shared with them (excluding files shared via Shared Drive).
  • Your use of Gemini with Workspace apps is governed by your organization’s Workspace agreement, including the Cloud Data Processing Addendum. Your chats and uploaded files in Gemini app won’t be reviewed by human reviewers or otherwise used to train generative AI models without your permission. Refer here for more detail.
  • The beta setting, “Allow access to Workspace apps in Beta (current phase)”, will be removed from the admin console once the feature becomes generally available.
  • Workspace apps are not available to Google Workspace users accessing Gemini as an additional Google service.
  • This update does not impact your current Gemini app service setting.

  • A marketing manager at a CPG company can create a launch plan for a new product using the following prompt: Create a marketing plan to support the launch of a new line of coffee flavors. Include timing, owners, deliverables, and create a cover image that shows different types of coffee.
  • A manager can create a vision document to keep their team on track by telling Gemini: Create an overview document of our team charter and goals based on [Team charter brainstorm notes], and include a cover image that shows team bonding in an office setting.
  • A small business owner specializing in eco-friendly products can create a proposal for a new client by typing: Create a proposal for my new client using the deliverables listed in [Customer meeting notes - November 30, 2024]. Outline the scope of work, pricing, and timing, and create a cover image that shows eco-friendly cleaning products and inline images.
You can also choose from a variety of starter prompts to expedite the creation process for common document use cases. For example, you can select:
  • A roadmap for a product launch that includes strategy breakdowns and outlines key milestones, timelines, and initiatives (with the option to include images for each feature).
  • A party planning checklist with a timeline of tasks, milestones, deadlines, and dependencies.
  • A template for a 15-minute daily standup meeting with teammates that includes a table for each individual to leave their updates.
